01 / Services & Engagement

What we provide

ErrorVoid provides digital services including web development, web application development, UI/UX design, graphic design, video editing, SEO, email automation, VPS configuration, and website maintenance.

Each engagement begins with a written proposal or Statement of Work ("SOW") specifying scope, deliverables, timeline, and fees. The SOW, once accepted by both parties, forms the entire agreement for that project.

No work begins until a proposal is approved and the deposit payment is received.

02 / Payment Terms

Fees & payment

Our standard payment structure:

  • 50% deposit due before any work commences
  • 50% final payment due upon project completion, before final delivery or site launch
  • For larger projects, milestone-based payments are agreed in the SOW

Invoices are due within 7 days of issue. Late payments beyond 14 days may incur a 1.5% monthly interest charge and project work may be paused.

Refunds are available for work not yet started. Once development begins, deposits are non-refundable — but all completed work is yours.

03 / Client Responsibilities

What we need from you

  • Provide content, assets, and approvals in a timely manner as agreed
  • Designate a single point of contact with authority to approve deliverables
  • Ensure all provided materials are legally owned or licensed by you
  • Provide clear, consolidated feedback within the agreed review period
  • Not request changes that fundamentally alter scope without a new SOW

Delays caused by the client may extend the project timeline, and ErrorVoid shall not be held liable for such delays.

04 / Intellectual Property

Who owns what

Upon receipt of full payment, all custom assets and code created for your project are assigned to you — including design, graphics, and copy.

ErrorVoid retains rights to pre-existing tools and frameworks (licensed to you for use), and the right to showcase the project in our portfolio unless a confidentiality clause is agreed.

If you need full confidentiality (NDA), we're happy to sign one. Just request it before we start.

05 / Revisions & Scope

Changes and revisions

  • Unlimited revisions within the agreed design phase, before development begins
  • 2 rounds of revisions during the development phase

Requests outside the agreed scope will be quoted and billed separately as a change order. We always tell you before any out-of-scope work begins.

06 / Limitation of Liability

Our liability to you

  • Total liability shall not exceed total fees paid in the preceding 3 months
  • We are not liable for indirect or consequential damages (loss of revenue, loss of data)
  • Not responsible for third-party service outages (hosting, APIs, platforms)
  • Performance metrics (traffic, rankings) cannot be guaranteed due to external factors

SEO rankings, ad performance, and conversion rates involve variables outside our direct control.

07 / Vulnerability Disclosure

Get in touch & policy updates

We welcome responsible disclosure of any security vulnerabilities you discover in our website or client projects we maintain. We take every report seriously and will respond promptly.

  • Report the issue privately to help@errorvoid.com before public disclosure
  • Give us reasonable time (minimum 30 days) to investigate and resolve the issue
  • Do not access, modify, or exfiltrate data beyond what is necessary to demonstrate the vulnerability
  • We will acknowledge your report within 48 hours and keep you updated on our progress
  • Researchers who follow these guidelines will be credited in our security acknowledgements
08 / Data Security

We Protected Your Data

We apply strict controls to protect client and user data at every layer :

Encryption at rest

Sensitive data stored in databases is encrypted. Environment variables and secrets are never committed to version control.
Encryption in transit

All data transfers use TLS 1.2 minimum (TLS 1.3 preferred). Internal service-to-service communication is also encrypted.
Payment data

We do not store card numbers. All payment data is tokenised by PCI-DSS compliant processors (Stripe, PayPal).
09 / Termination

Ending the engagement

Either party may terminate with 14 days' written notice.

  • If you cancel: invoiced for all work completed to date. The deposit covers the first portion.
  • If we cancel: we refund a pro-rated portion of pre-paid fees for work not yet started.

Upon termination, all completed and paid-for work and source files will be delivered to you within 7 days.
